First Day

What can I expect on my first day in a new position?

On your first day, you will be greeted by Skillhouse staff at or near your work location before you meet your on-site manager. The Personnel Team will email you the meeting times and details in advance.

Once you have set up your new work email address, please send details to Skillhouse Personnel and we will send details of how to record your working hours as well as a digital copy of the absence request form and application form for Benefit One.

Timesheets

How do I record my hours?

Once we receive details of your new work email, we will email the details of how to record your hours and submit to Skillhouse. The methods differ slightly between clients, but we will send you a blank timesheet or login details to your browser-based system.

When do I need to submit my timesheet?

All staff hours must be logged and approved by your onsite manager by the second business day of the following month. Of course, the earlier you submit it, the earlier we can process and calculate your salary for the month.

Salary

When will I receive my first pay check?

Salary is paid on the 25th (or preceding business day) of the following month, so if you start work in March, your first payday will be April 25th. We will send your pay slip to your home address shortly before that date. If you have any queries, please contact Personnel at any time.

Lateness/Absence

I am running late. What should I do?

Punctuality is very important in Japanese society, so please try to avoid being late at all costs! In the case that you are running late, however, please contact your onsite manager as soon as possible (before your actual start time), and copy Personnel Department so that we can keep a record.

I need to miss a day of work due to illness or an emergency. What is the correct procedure to follow?

If you cannot make it to work, please follow the procedure above and submit an Absence Request Form as soon as you are able. Please note that absences of three days or longer will require you to provide a doctor’s note or proof of treatment.

Paid Leave

When can I start to use my paid leave?

You are entitled to your paid leave after six months of continued employment (assuming at least 80% attendance), in line with Japanese Labour Law. Additional paid leave will be awarded to you yearly on the anniversary of this date.

What happens if I do not use all of my paid leave?

Not to worry! Your paid leave has a two-year lifespan, so you can always use it next year. Please note that Skillhouse does not have a ‘buy-back’ policy, so please keep track of how many paid leave days you have and make use of them accordingly.

Can I take paid leave for half a day?

Absolutely. Paid leave can be taken in half day or full day units.

Insurance

What are the requirements to be enrolled into Social Insurance?

You must be working at least 75% of the working days and hours as regular employees at your workplace and have a contract of at least two months. Almost all of our staff meet these criteria, but in some cases, the first contract may be shorter than two months. In this scenario, you are required to enrol in National Health Insurance and National Pension until we are able to enter you into Social Insurance.

Can my family be entered into my Social Insurance plan?

Yes, as long as they meet the requirements. Please contact Personnel for advice on what documents you will need to prepare.

I forgot to take my insurance card to the hospital and had to pay the full cost of my treatment. Is there anything I can do?

Yes. You can download a reimbursement application form here (or request from Personnel) which you can complete to claim up to 70% of your medical costs.

What should I do with my insurance card if I decide to leave Skillhouse?

After the last day of your contract, please send your insurance card(s) back to Skillhouse at:

Health Checks

Am I eligible for a yearly health check? What is the procedure?

All staff are eligible for a health check once yearly after 6 months of employment. Depending on your age, the type of health check will vary, as will the cost (reimbursed by Skillhouse). Please contact Personnel or check here to find out which health check you qualify for.

Test Payback

What is the Test Payback System?

Skillhouse encourages all staff to develop their skills and potential for career progression by offering to pay the cost of any exams taken/qualifications attained, up to 20,000 yen twice per year. The most common types of qualification relate to business, IT or language skills but other certifications may be eligible.

How can I make use of it?

Please contact Personnel in advance and let us know the date of the examination, title, and cost. Once you have passed, please provide a copy of your receipt and proof of success and we will process your payment with your next pay check.
