A Global IT Service firm is looking for Project Coordinator for The EC Department. Our team of 30+ Project Managers oversees the planning, execution, and delivery of features and improvements that power Japan's largest internet shopping mall. We operate at the intersection of business, product, and engineering — keeping major initiatives on track across complex, cross-functional environments. We are looking for an organized and proactive Project Management Coordinator to join our PM section. This is an entry-level role focused on operational and administrative support across projects, meetings, and events — with a clear growth path toward independent project management.
Responsibilities:
- Maintain Jira tickets and Confluence pages — keep statuses, owners, and due dates current
- Track open actions across projects; follow up with owners to ensure closure
- Prepare and distribute weekly status summaries and action item logs
- Monitor dashboards and flag overdue items or blockers to the responsible PM
- Schedule and coordinate management review meetings (Senior Management Review, project reviews, team syncs)
- Prepare agendas and pre-read materials; take accurate minutes with assigned owners and due dates
- Follow up on meeting actions until closure; report outstanding items to the Lead PJM (e.g. Super Sale, Rakuten Marathon, and similar large-scale campaigns)
- Maintain event timelines, task trackers, and dependency lists throughout preparation
- Track open issues and risks; escalate blockers promptly to the Lead PJM
- Compile readiness checklists ahead of go/no-go reviews
- Own delivery of small, well-defined projects under guidance of a Senior PM
- Maintain project tickets, basic plan, and status updates using section standards
- Log risks and issues; escalate as needed and run a retrospective at closure
Required skills:
- 0–2 years in project coordination, operations, or admin support
- Working knowledge of Jira, Confluence, and Microsoft products
- Clear written and verbal in both English & Japanese; able to write concise meeting minutes and status updates
- Proactive, detail-oriented, follows up on actions without being reminded
