Exciting opportunity to work for one of the world's most famous NPO institutions! The organization is funded by world governments with the mission of helping developing countries end extreme poverty. The primary responsibility of the Administrative Assistant will be to provide comprehensive administrative and proactive support to the Disaster Risk Management Hub team including the Program Assistant. The Administrative Assistant is expected to create a positive and cohesive work environment and ensure the smooth and efficient operation of the office.

Office Administration Support
‐ Provide support to the daily administrative work of the Hub: telephone calls, mail, courier services, visitors, office supplies and others
‐ Monitor leave and mission plan of Hub team members and provide necessary support as required
‐ Screen, track and follow up incoming emails

Hub Team Support
Provide daily support work as requested by DRM Specialists and Program Assistant. The support may include but not limited to:
‐ Organize and maintain OneDrive shared folders
‐ Develop various types of documents
‐ Correspond with stakeholders
‐ Make copies and scans, creation of binders and documentation
‐ Conduct quick research
‐ Translations English-Japanese
‐ Provide administrative and logistic supports to visiting missions, meetings, seminars, workshops and other events organized by the Hub
‐ Provide support for the management of Hub's publications (Reports, flyers, posters and others)
‐ Coordinate with printers for the printing of Hub's publications
‐ Monitor the stock of Hub's publications
‐ Maintenance and update of databases (event monitoring tool, event list and Japanese contact list)
‐ Provide support in organizing team retreats and events including venue searching, session bookings, and restaurant bookings.
